The Database Coordinator (Accreditation Assistant/AAR Technician) is a joint position between the School of Education and the Registrar's Office.
For the School of Education, the Accreditation Assistant will work closely with the Associate Dean and provide a variety of administrative functions. The Accreditation Assistant will serve as coordinator of the data management software tool (i.e. Taskstream), and will be responsible for building and launching all electronic assessments and forms within that environment. The Accreditation Assistant will manage assessment data within Taskstream for the various programs and departments in the School of Education.
For the Registrar's Office, the AAR Technician manages degree audits for all programs using Academic Advisement Report (AAR) and related advising systems. This includes researching, programming/coding, testing, and maintaining AARs and keeping them accurate and up to date. Develops and maintains degree requirement tables within the student information system (SIS) in order that students and advisers can receive accurate information on curriculum completion.
PRIMARY DUTIES AND RESPONSIBILITIES:
Accreditation Assistant Duties:
Maintain all electronic assessments, rubrics, and forms within Taskstream and/or other data management software systems as required for accreditation and program assessments across all programs in the School of Education.
Manage all assessment data within Taskstream and/or other data management software systems as required for accreditation across all programs in the School of Education.
Ensure all required data are collected from faculty and students each semester, and disseminate information to Department Chairs, the Associate Dean, and Dean.
Input all necessary data into Taskstream and/or other data management software systems as required.
Run reports to analyze assessment data across all programs and share those reports with coordinators, chairs, the associate dean and the dean at regular intervals.
Provide data for external reports including but not limited to university, state and federal authorities as well as accreditation organizations and associations.
Attend and take minutes for all assessment/accreditation committee meetings.
AAR Technician Job Duties:
Research, program/code, test and maintain degree program requirements (e.g., majors, minors, general education requirements) based on information obtained from researching the campus catalog and consulting with academic schools and departments. Actively contribute to the ongoing development and refinement of the academic record and auditing environment by engaging with registrar office staff, deans, recorders, degree auditors, advisors, and other staff to develop a clear understanding of curricular requirements, as they relate to AAR coding and degree maps.
Prioritize implementation and maintenance of academic advisement reports (AARs) to best meet academic unit, departmental, and campus needs. Communicate completed AAR changes to all affected areas.
Record exceptions or train academic unit staff in process and resolving complicated degree exceptions.
Educate users on AAR capabilities and reports. Provide training to end-users.
Create and maintain documentation and standard operating procedures for academic units.
Modify and test academic advisement reports (AARs).
Produce Ad Hoc and standard reports to the campus community.
Coordinate to maintain campus degree maps accurate and up to date.
High school diploma or GED and two years of database software or related experience.
Combinations of related education and experience may be considered.

Experience in higher education and knowledge of a student information system. Experience in data management. Experience designing, developing, and generating reports from related database applications (i.e., Taskstream, PeopleSoft, and other systems).
The ability to collect, and report data in a timely manner. Proficient in use of Microsoft Office Suite with advanced skills in Word and Excel.
