Rutgers, The State University of New Jersey is seeking a Lead Surgical Scheduler/ Patient Liaison for the Department of Surgery at the Rutgers Robert Wood Johnson Medical School.
The primary purpose of the Lead Surgical Scheduler/Patient Liaison is to ensure that all surgeries in the OR and all out-patient procedures are scheduled in an organized, efficient and timely manner. In addition to scheduling, position is responsible for ensuring that all pre-admission testing and diagnostic testing are scheduled and results are scanned into EMR prior to surgery or procedure. This position serves as a liaison between urology and all surgical divisions requiring urologists to be present during surgery, the hospital operating rooms, radiology, oncology, insurance companies, patients and third party vendors whose equipment is required in the OR. The candidate serves on OR committees at the request of the Program Manager and Division Chief, acts as liaison for these committees and reports back to superiors and implements changes to improve productivity and OR usage of block time. The Lead Surgical Scheduler/Patient Liaison contributes to the research mission and participates in performance improvement activities in order to improve the quality, consistency, and efficiency of services provided. This position requires interaction and competency in providing care to patients in all age categories from neonates through geriatrics. The candidate must represent the Division Chief and Program Supervisor on hospital committees in a professional manner.
Among the key duties of this position are the following:
Must assist and triage urology emergency and nursing phone lines to ensure that proper clinical/pharmacy numbers and medications are accurate on the nursing or physician desktop
On a quarterly basis, meet with representative from RWJ Barnabas operative staff including head nurses, surgical schedulers and support staff to update and review policies and procedures, will report back to Division Chief and Program Supervisor
Provides back-up coverage for pre-certification and authorization for all OR cases and out-patient procedures
Ensures that all pre-certifications and authorizations are documented in EMR and that all relevant information is entered that complies with the patient's insurance
Maintains knowledge of and participates in performance improvement activities
Coordinates with physician as needed to obtain clinical information
Retrieves information from patient's electronic medical record to complete requests
Minimum Education and Experience:
Four (4) years of progressively more responsible clerical experience including receptionist and scheduling duties
At least two (2) years of surgical scheduling
Required Knowledge, Skills, and Abilities:
Must be proficient in ICD-10 and CPT urology coding
Must have knowledge of Microsoft Office
Must be detail oriented and possess excellent interpersonal communication and organizational skills
Main liaison to the RWJ Barnabas hospitals (New Brunswick/Somerset) OR staff to ensure that all instruments, appropriate staff/technicians are available in the OR
Liaison to all outside vendors (Stone Center-Greenlight Laser-Interstim) to ensure they are also scheduled to assist with surgery
Liaison to the PAT (pre-admission testing) department and facilitate with them for appropriate pre-tests are scheduled and performed
