The primary purpose of this position is to provide administrative support for the day-to-day operations related to the Child Welfare Education Collaborative project and to work closely with the Program Coordinator, Project Manager, Business Services Coordinator, and Technology Support Technician and other FCRP staff. The CWEC project gives students the opportunity to gain their preservice certification and other training related to child welfare while enrolled in a BSW or MSW program affiliated with CWEC. CWEC students are selected based on their desire to work with families and children who are involved with child welfare in an NC Department of Social Services agency. This position serves as front line contact for the project, conveying information in person and via telephone/electronic means to individuals and groups including students, university staff, stakeholders and others. Responds to requests for project and procedural information. Contacts training participants, university faculty/staff, vendors and others to provide or obtain information. Prepares check requests, processes invoices and travel reimbursements, and performs regular bookkeeping activities. These tasks are performed for the Family and Children's Resource Program, Jordan Institute for Families located at the UNC School of Social Work. 30% Serves as contact person for work related to the Child Welfare Education Collaborative (CWEC), including call screening and processing of inquiries related to the project. Handles incoming and outgoing mail and makes all logistical arrangements for CWEC events, including trainings, meetings, room rental, catering, audiovisual equipment, handouts, registration, certificates, and other activities, as needed. 30% Helps FCRP's registrar to process registrations and other training logistics related events available via ncswLearn.org. Collects and maintains participants and student data, maintains program files, enters data into a web-based platform, prepares administrative and programmatic forms and reports. Makes travel arrangements, prepares faculty and staff travel reimbursement forms, and prepares paperwork and maintains system for payments to students (service awards, travel and book reimbursements, etc.). 20% Maintains inventory of project supplies and equipment; arranges purchasing of supplies and equipment as needed. Arranges for or handles copying, printing, and distribution of publicity and outreach materials. Helps maintain up-to-date content information on project's website. 15% Prepares check requests, travel reimbursements, processes invoices, and performs regular bookkeeping activities related to the project. 5% Completes any tasks that are assigned later. Education and Experience:
High school diploma or equivalency and one year of related office experience; or equivalent combination of training and experience.
Must have excellent communication skills both verbal and written are required. The person in this position needs strong customer service skills and ability to work as part of a team. Must possess excellent skills using Microsoft Office Suite software tools including Outlook, Word, Excel, and PowerPoint. The applicant must demonstrate effective communication and interpersonal skills and the ability to work well with both technical and non-technical staff and students. Must have the ability to move heavy supply boxes/training materials and to travel.
Preferred candidates should be organized and detail-oriented. Candidates should be self-starters, able to manage time and work independently.
