General purpose: The Academic Year, 10-month Administrative Assistant provides office management support to include resource, technical, and administrative support in the day to day operations of these departments. Collaborate with technicians to maintain equipment for students and faculty in Graphic Design. Provides supervisory direction to the department’s student workers.
Summary of Essential Functions • Manage departmental resources and equipment • Organize, maintain and track calendars, schedules, meetings, travel, events and special projects with accuracy and effectiveness • Administer budgets (departmental, capital, donations, Center for Design Thinking, etc.)
Essential Duties & Responsibilities: • Serve as initial contact and liaison respond to requests for information from internal (students, staff, faculty) and external clients (vendors, etc.) • Coordinate inventory orders, instructional supplies, ensure good working order of all departmental equipment and other learning tools for students and faculty, initiate and follow-up on work orders • Maintain prototyping supplies such as binding, printing, vinyl cutting, photography; monitor digital equipment such as printers, projectors, and digital subscription services; maintain record of equipment inventory, and condition, usage, and manuals / warranties; facilitate work orders with Campus Technology, Audio / Visual, Campus Safety, or Facilities management to maintain effective studio • Maintain and oversee the equipment inventory system for the department equipment, manage equipment maintenance and repair (cameras, button maker, lighting equipment, staplers, screen printing equipment, speakers, etc). Collaborate with campus technology and audio visual teams to solve problems. • Manage budgets, proper reporting, payment to vendors or visiting designers, reimbursements, sign and file purchase orders • Coordinate scheduling of events, exhibitions, faculty meetings, coordinate the department's conference rooms logistics e.g. bookings, AV equipment, room maintenance, food service requests • Organize and update relevant information such as course descriptions on various channels (mica.edu, portal, blog, twitter, etc), syllabi, course evaluations, multiple departmental calendars, and memos • Use word processing equipment and input or retrieve data and prepare reports using an on-line or personal computer system and various software (e.g. word processing, spreadsheet and database management) • Review, proof and edit finished materials for completeness, accuracy, format, compliance with policies and procedures, and appropriate language usage and grammar • Organize and maintain manual and electronic files which may involve confidential and sensitive information, purge and archive files as appropriate • Respond to faculty, staff, and student inquiries • Perform other duties as assigned.
Knowledge, Skills, and Abilities • Ability to prioritize and balance multiple tasks • Ability to self-motivate and work unsupervised • Brings knowledge of or ability to learn about the contemporary field of graphic design • Ability to treats others, including those of different backgrounds, beliefs, and gender, with fairness and respect • Ability to approach work activities with confidence and a positive attitude • Ability to build strong, positive working relationships with others and maintain them over time • Proficient in Microsoft Office, Excel, PowerPoint and customer service • Working knowledge of the operation of various office equipment • Working knowledge of formatting business letters and memos • Working knowledge of budgeting procedures • Must work independently, have excellent oral and communication skills and excellent interpersonal skills and effectively collaborate with a wide variety of people; Must be able to analyze difficult situations and make critical decisions; excellent organizational skills.
Minimum qualifications: • Experience working with cameras, printers, and other digital production tools for artists and designers; or ability and desire to learn • Associate’s Degree • May substitute 5 years of administrative experience for Associates Degree
Preferred Qualifications: • Bachelor’s degree • Experience with Adobe Creative Suite, or ability / desire to learn • Experience with PeopleSoft
