This position's primary responsibility is to provide timely and accurate fiscal information to the Departments of Theatre Arts to include but not limited to, productions, goods and services, and summer programs. This position will provide fiscal support using independent judgment in the interpretation and application of a variety of rules and procedures in specialized fiscal functions, such as internal control, revolving fund maintenance control, and providing resource data for reports. The position, while reporting directly to the department chair and maintain a close working relationship with department staff and the College of Arts and Humanities. This position will be expected to translate complex financial information accurately in up-to-date understandable formats and language for the many constituencies.
Fiscal Support: - Maintain, update, forecast accounts and records; authorize and enter fiscal transactions; compile and prepare fiscal statements and reports. - Extract and prepare monthly reports from CatPlan and Financial Management Systems (FMS), review income and expenses and take corrective action on discrepancies - Review fiscal requests against budget limits and provide information and recommendations on corrective actions - Produce and maintain timely and complete budget and forecasting reports, communicate findings and distribute reports on a regular basis - Expending and reconciling department funds, purchasing supplies, requisitions, blanket order accounts, work orders, motor pool requests, pro-card purchasing, charge-credits, check requests, deposits, etc. - Monitor and reconcile class fees with registrar's office and budgeting systems - Maintain, monitor, evaluate and/or reconcile budget and fiscal records; recognize inconsistencies; identify problems and initiate corrections; assist in the development of organization budget; initiate budget transfers; inform supervisor of status
Office Support: - Respond to inquiries regarding departmental/University procedures and services; identify issues, provide options, fulfill services, exercise knowledge of procedures to assist others - Establish and maintain manual and electronic filing systems; post information to various electronic or manual records according to procedures and standards; maintain records in accordance with records retention - Perform complex word processing tasks; use spreadsheets and database software to develop and maintain records; prepare spreadsheets involving the development of formulas. - May supervise student employee staff including hiring, establishing job performance standards, evaluating job performance, taking corrective action, training, assigning and scheduling work, and acting upon leave requests - Other duties as assigned
Progressively responsible, applicable clerical or fiscal experience.
Working knowledge of basic bookkeeping/accounting processes such as AP/AR, auditing, analysis, budgeting, payroll, forecasting, etc.
Expert level user of electronic spreadsheets such as Microsoft Excel
Experience with MS Office Word or similar software word processing software
Experience with email such as MS Outlook or similar email software
Experience working in a professional office environment.
Demonstrated attention to detail, including strong analytical and problem solving skills
OR any combination of education and experience which clearly demonstrates the ability to perform the essential functions of the job.
Bachelor's degree in Business Administration, Finance, Accounting, Management, or related field
Experience in areas of art gallery, arts production, and/or budgeting

Pay, Benefits, & Work Schedule
Salary: $2367/month with periodic increases up to $3054/month
Schedule/Appointment: Monday - Friday, 8:00am-5:00pm (1 hour lunch) / PSE Bargaining Unit 4
Working Conditions: Work is performed in an indoor office setting with frequent in-person interactions. It is essential to be able to remain at a desk/computer work station for prolonged periods of time, perform extensive data entry and other computer-related tasks and create/maintain filing systems for departmental records. Some evening or weekend work and/or occasional travel may be required.
