Under general supervision, the Records Technician provides clerical and technical support for recording, updating, and maintaining approximately 40,000 active student academic records. Ensures the security and privacy of records. Provides services related to records for students and authorized university officials such as transcript requests. Reviews requests for general education variations, retroactive ads and withdrawals, and extension credit transfers. Performs research and data collection as needed to ensure eligibility before submitting for administrative review. Coordinates with National Student Clearinghouse to verify and update updates enrollment and degree information. Generates official response to documents related to student records as requested. Provides customer support to students at the Admissions and Records Service Center on a scheduled basis. Completes special projects and assignments assigned by supervisor. Other duties as assigned.
Essential Qualifications: High School diploma or the equivalent and three years of experience in general office, clerical or secretarial work or the equivalent. General working knowledge of applicable university infrastructure, policies, and procedures. Thorough knowledge of office methods, procedures, practices, and equipment. Thorough knowledge of English grammar, punctuation, and spelling with demonstrated competence in effectively presenting standard information in writing. Ability to learn, interpret independently, apply, and identify deviations from a variety of complex policies and procedures. Ability to apply independent judgment, discretion, and initiative to address problems and develop practical, thorough and, at times, creative solutions. Ability to perform arithmetic functions of a transactional nature, including tracking and comparing data. Ability to work on the front line, with a variety of campus and community individuals requiring active problem solving and effective interpersonal skills. Demonstrated competence in understanding, interpreting, and communicating procedures, policies, information, ideas, and instructions. Basic typing and keyboarding skills.
A background check (including a criminal records check) must be completed satisfactorily and is required for employment. CSU will make a conditional offer of employment, which may be rescinded if the background check reveals disqualifying information, and/or it is discovered that the candidate knowingly withheld or falsified information. Failure to satisfactorily complete the background check may affect the continued employment of a current CSU employee who was conditionally offered the position.
